Meetings: Policy & Guidelines
Per Patriot’s internal policies and compliance standards, all meetings, video calls, and scheduled work-related interactions should be limited to either 25 or 45 minutes.
This policy is intended to enhance overall productivity while also allowing employees time to recharge between engagements.
Below you’ll find official instructions from Microsoft on how to both create new meetings and edit existing ones.
Microsoft Outlook
🗓️ Outlook: Create or Edit Meetings
✅ Create a New Meeting
- Open Outlook and go to your Calendar.
- Click New Meeting or New Appointment.
- Enter the title, attendees, and location.
- Set the start time and adjust the end time to either 25 or 45 minutes later.
- Click Send to schedule.

✏️ Edit an Existing Meeting
- Double-click the meeting in your calendar.
- Adjust the start and end times to match the approved durations.
- Click Send Update to notify attendees.

You can also have Outlook automatically reduce the length of your meetings by accessing the Calendar Options (File > Options > Calendar > Calendar Options) menu and enabling the following options:
